1. Introduction

This Refund Policy outlines the terms and conditions under which ChatBotChatApp ("We", "Us", "Our") may provide refunds for its subscription services ("Subscription"). This policy should be read in conjunction with our Terms of Use. By purchasing a Subscription, you agree to this Refund Policy and our Terms of Use.

2. General Eligibility for Subscription Refunds

We offer a limited window during which you may request a refund for your initial Subscription purchase. To be eligible for consideration, the following conditions must be met:

  • Timeframe: Your refund request must be submitted:
    • Within exactly 24 hours from the date and time of your initial purchase confirmation for Monthly Subscriptions.
    • Within exactly 72 hours from the date and time of your initial purchase confirmation for Annual Subscriptions. Requests received after these strict timeframes will not be eligible for a refund.
  • Usage Limitation: During the applicable timeframe (24 hours for monthly, 72 hours for annual), your usage of the Service under the Subscription must not have exceeded 100 queries/interactions generated. Usage is tracked automatically by our system. If your usage exceeds this limit within the timeframe, you are not eligible for a refund.

3. Non-Refundable Items

  • Credits: All purchases of Credits are final and strictly non-refundable under any circumstances once the purchase is completed. Please consider your needs carefully before purchasing Credits.
  • Subscription Renewals: As our Subscriptions do not automatically renew, this policy only applies to the initial purchase of a Subscription period. Subsequent purchases of new Subscription periods are treated as new initial purchases subject to the conditions above.
  • Partial Subscription Periods: No refunds or credits will be provided for partial subscription periods or unused time if you choose to stop using the service before your Subscription period ends.

4. How to Request a Refund

To request a refund, you must submit a formal request via email to [email protected] within the eligible timeframe. Your email must include the following information:

  • Subject Line: "Refund Request - [Your Order ID or Transaction #]"
  • Body of Email:
    • The email address associated with your ChatBotChatApp account.
    • The Order ID or Transaction Number for the purchase.
    • The date and approximate time of the purchase.
    • A clear statement that you are requesting a refund and the reason for the request (while eligibility primarily depends on time/usage, providing a reason helps us improve).

Incomplete requests lacking the required information may be delayed or denied. We will review your request based on the eligibility criteria (time of request, usage data, account status).

5. Refund Processing

  • Review: We aim to review complete refund requests within 5 business days.
  • Approval/Denial: We will notify you via email whether your request has been approved or denied based on the criteria in this policy. Our decision is final, based on recorded data.
  • Processing Time: If your refund is approved, it will typically be processed within 5-10 business days from the date of approval notification. The actual time it takes for the funds to appear back in your account may vary depending on your bank or payment processor.
  • Method: Approved refunds will be issued back to the original payment method used for the purchase. We cannot issue refunds to different cards, bank accounts, or via other methods.

6. Limited Exceptions

Refunds outside the standard eligibility window (Section 2) are granted solely at ChatBotChatApp's discretion and only in cases of:

  • Verified Billing Errors: Duplicate charges or incorrect amounts caused directly by our payment processing system.
  • Extended Service Unavailability: Verifiable technical failures originating solely from ChatBotChatApp's systems that prevented any substantial use of the service for a significant portion of the initial refund eligibility window (24/72 hours).

Refunds will not be granted for: dissatisfaction with AI-generated output quality (unless it constitutes a complete service failure), forgetting to use the service, changing your mind after the eligibility window, account suspension due to violation of Terms of Use, user technical issues (e.g., poor internet connection), or failure to understand service features before purchase.

7. Policy Abuse and Previous Refunds

We reserve the right to deny refund requests if we suspect fraudulent activity, abuse of this policy, or violation of our Terms of Use. Furthermore, users who have previously been granted a refund for a Subscription may not be eligible for refunds on subsequent Subscription purchases, at our sole discretion.

8. Promotional Offers and Discounts

If you purchased a Subscription using a promotional offer or discount code, any refund granted will be based on the actual discounted price paid, not the original non-discounted price.

9. Currency

All refunds will be processed in the original currency of the transaction. We are not responsible for any discrepancies due to currency exchange rate fluctuations or fees charged by your bank or payment processor.

10. Regional Laws

This Refund Policy outlines ChatBotChatApp's standard procedures. However, mandatory consumer protection laws in certain jurisdictions may provide you with specific refund rights that supersede parts of this policy. If such mandatory laws apply and grant you rights beyond this policy, we will comply with those specific legal requirements upon verification. Otherwise, this policy governs all refund requests.
